How Indeed Gave Its Business Predictable Relocation Budgets and Employees Real Flexibility With Benivo's Managed Budget Solution
About Indeed
Indeed is one of the world’s largest job and hiring platforms. As a remote-friendly organisation, much of its workforce can work fully remotely, which shapes a mobility program that is broader than traditional relocation alone, spanning relocation and immigration alongside flexible work programs such as temporary remote work. The Global Mobility team supports a range of move types, from business-driven relocations for teams that co-locate to leadership moves and special project needs.Global Mobility Challenge
Karen Hale joined Indeed as Global Mobility Strategy Director in January 2025 with a mandate to make the program more strategic. Listening to the business surfaced a clear pain point with one of its larger relocation users: the problem was not the cost of a move, it was the inability to predict and budget for it.
"It sounds like it was about cost, but it really wasn’t about the cost to move someone. It was really about their struggle to appropriately budget for moves." - Karen Hale, Global Mobility Strategy Director, Indeed
Under the traditional model, the amount paid per move varied widely with family size and location. One move might come in around €15,000 and the next around €30,000, so the business never knew what it was committing to when it approved a relocation. Indeed wanted to move to a Managed Budget model to solve this, but its legacy Relocation Management Company could not support it.
Solution Implemented
Indeed switched to Benivo to get both halves of what it needed on one unified platform: the full end-to-end Relocation Services its RMC had delivered, plus the Managed Budget model the RMC could not. Rather than trading predictability against flexibility, Benivo delivers both at once, for the business and for the employee.
Managed Budget - Predictability and Flexibility:
Benivo’s Managed Budget solution benchmarks average spend and sets a conservative, worst-case budget the business can plan against, in clear tiers by family size. The business gets a number it can always budget against, and may come in under but is designed never to exceed. The employee sees the budget in true cash value and chooses how to spend it across vetted services that fit the move, requesting quotes on the platform and only drawing down the budget when they decide to go ahead.
Strong guardrails keep the focus on services rather than cash. There is no full cash-out, the most an employee can take in cash is around 50–60% of the budget, and the budget is deliberately preserved for the services that matter most on international moves, such as destination support. Integrated expenses complete the experience: employees submit a receipt by photo and are paid approved amounts from their budget to a bank account or a virtual card.
"It’s definitely a three way win. The business gets that front end predictability that they wanted. The employee gets more flexibility, and from our team, it’s a relatively light admin lift." - Karen Hale, Global Mobility Strategy Director, Indeed
Everything the RMC Delivered, on One Platform
Beyond Managed Budget, Benivo provides Indeed’s full Relocation Services: experienced consultants, a vetted global supplier network, vendor management, integrated payments and expense reimbursement, and compensation reporting. Because service and technology sit on one platform, the team manages every case in one place, with full visibility of budget allocated versus remaining, secure platform-to-platform document sharing, automatic communication logging, and structured ticketing for questions and exceptions.
Cost Estimates
Indeed’s team runs unlimited cost estimates at no additional charge, modelling scenarios across dates, locations, and move types. Benivo’s cost-saving scenario planning helps the team bring options to the business, positioning Global Mobility as a proactive, solutions-oriented partner.
A Digital-First Support Model
For the Managed Budget population, Indeed relies on the platform’s self-service depth alongside its own pre-move meetings rather than a traditional consultant. Employee questions are fed back to Benivo to expand the knowledge base, so people get a consistent answer whether they ask the team or the platform, and the platform can support them around the clock.
